The system supports integration with Bill.com for easy transfer of payments and synchronization of accounts and vendors.
When you first set up integration with Bill.com, you can set the first-time synchronization date. Synchronization shares data such as charts of accounts and vendor records between the system and Bill.com. Once you perform the initial synchronization, subsequent synchronizations transfer new vendor information and all payments made since the previous synchronization date.
The payment importing process matches the bill reference number and vendor name of any bill entered in the system to apply payments from Bill.com to pending bills, and records payments as handwritten checks.
If no match is found for a payment from Bill.com, the system makes the following types of entries in the Write Up module:
Purchase Journal:
Expenses |
1000.00 |
|
Accounts Payable |
|
1000.00 |
Cash Disbursement Journal
Accounts Payable |
1000.00 |
|
Cash |
|
1000.00 |
Before you set up the Bill.com integration, set up the following accounts in the system:
§ A Cash account and related bank information. If no bank is set up, the system validates on importing.
§ A Suspense account category. The system validates upon importing.
§ An Accounts Payable account category.
To set up Bill.com integration and synchronize data:
1. Select Bill.com from the Integration menu to open the Sync With Bill.com screen.
2. Click the Sync with Bill.com button to synchronize data between the system and Bill.com if you have already set up integration, or click the Setup button to open the Bill.com Setup Information dialog to set up integration.
3. Enter a user name and password in the Username and Password fields of the Bill.com Setup Information dialog.
4. Enter your Organization ID from Bill.com in the Organization ID field.
To find your Organization ID, go to Bill.com and open the client, select Your Company from the Settings menu and open the Profile item. The Organization ID forms part (after the Organization?id= text) of the website address that appears.
For example, if the website address is https://...bill.com/Organization?id=000000NNNNNNNNNNNn00n, the Organization ID to enter is 000000NNNNNNNNNNNn00n.
Note: The Organization ID is not the same as the Payment Network ID or User ID.
5. Enter a start date for synchronization with Bill.com in the Sync Start Date field.
The Sync Start Date is the first date for which information will be transferred between the system and Bill.com.
6. Click Save.
