The General Ledger screen displays a summary of balances for all of your accounts, and enables you to review or edit transactions for any account and date range.
Using the options in the criteria panel, you can specify a date range and, optionally, an account to view information about a specific time period or filter the list to a single account.
In addition, you can drill down to individual debits or credits to review or edit details, and you can export the data to an Excel spreadsheet.
To review or edit entries:
1. Select General Ledger from the Trial Balance menu to open the General Ledger screen.
2. Use the From and To fields to specify a date range for the transactions to view, and optionally select an account from the Account drop-down list to filter the list to display only entries related to that account.
If you do not select an account, the screen displays data for all accounts.
3. Click View to display the activity for the selected date range and account.
The screen displays the entries matching your criteria. Columns indicate the Account Code and Account Description, the Date and Source of the entry and a Description, and the Beginning Balance, any Debit or Credit amount, and the Ending Balance for the account.
4. Click an entry in the Debit or Credit column to review and, if necessary, edit or delete the associated entry.
Based on the type of entry you clicked, the appropriate dialog opens to enable you to review, edit, or delete the entry.
5. Make any necessary changes and click Save to save your changes.
6. Click Excel to export the data to an Excel worksheet to open or save for further review or analysis, or to archive this data externally.
