Every company has multiple journal entries containing similar information, such as payee or payor name, account numbers, and descriptions, and which are posted repeatedly, such as a recurring journal entry posted at period end or a sales transaction booked daily to the same set of accounts.
To help you enter such transactions quickly and efficiently, you can create transaction templates from the Transaction Templates screen.
Enter all of the information you know in advance and save the template under a descriptive name. The next time you need to post the transaction, simply apply the template and enter the amounts and any other necessary information.
To create, edit, or delete a transaction template:
1. Select Templates from the Write Up menu to open the Transaction Templates screen.
If this is the first template you are creating for the active client, the fields on the screen are blank.
If you have previously created templates for this client, the screen displays an existing template.
2. Select one of the following if you previously created a transaction template for the active client:
§ Click the Add New button at the top of the screen to create a new template
§ Select an existing template from the list available from the Templates button to open it for editing or deletion.
Note: When editing an existing template, you can edit everything but the journal.
3. Enter an identifying code for the new transaction template in the Template Code screen, or verify the existing code for a previously-created template.
For easy selection, the code should be descriptive to differentiate it from any other templates you create.
4. Select the journal for the new transaction template from the drop-down list in the Select Journal field, and click the Add New button to open the transaction fields and begin creating the template.
Note: You cannot change the journal when editing an existing template.
5. Use the fields in the table to enter as much information about the transaction as you know in advance.
If you are editing a template, you can delete individual lines from the template using the red X at the end of each row of the table.
6. Click Save to save the template.
Alternatively, click Delete to delete the template entirely.
